Tools we connect every day

The problem

The invisible cost of manual work.

Copying data between systems, checking spreadsheets and answering the same questions seems small. Added up over a month, it becomes hours of your team’s time — and room for errors.

The problem is the process, not the team.

A simple calculation

~27hours a month

5 tasks × 15 min a day × 22 working days

Illustrative calculation. In the assessment we measure your real process.

Copy-pasting between systems

The same information typed two or three times — in different places.

Manual checks

Spreadsheets reviewed line by line to find what doesn’t match.

Repeated questions

The team answering the same questions instead of solving what matters.

Solutions

Technology applied with clarity, precision and intent.

We start from the business problem. Technology comes next — and only where it adds value.

01

Applied AI

We apply artificial intelligence where it can reduce effort, organize information or support decisions.

  • Assistants that answer based on your rules
  • Reading and extracting data from documents
  • Summaries, classification and request triage

02

Process automation

Fewer manual tasks and less rework: flows that run the repetitive work with validations and error handling.

  • Routines that run on their own, on time
  • Validations to keep bad data out
  • Notifications when a person is needed

03

Systems integration

Your tools don’t have to work in silos. We build flows so information moves with less friction.

  • APIs, webhooks and n8n connecting your tools
  • Data in sync across systems and spreadsheets
  • Monitoring to follow every run

See it working

Automation in practice, in seconds.

Three illustrative examples of what we build. Pick one and follow each step as it happens.

An AI agent talks to the customer, checks the calendar and reschedules the appointment.

Support agent online · illustrative example

Hi! I need to reschedule tomorrow’s appointment.

Sure! I have Thursday at 2:30 pm or Friday at 9 am. Which works?

Thursday, 2:30 pm.

Done — moved to Thursday at 2:30 pm. I’ll send a reminder beforehand. ✅

How it works

An automation, step by step.

Follow a customer sign-up: the form arrives, the data is validated and each system gets what it needs. If something is wrong, the person in charge is notified.

  1. 01TriggerWebhook

The submitted form starts the flow right away — nobody needs to open the inbox.

  2. 02ValidationBusiness rules

Required fields, duplicate e-mails and data format are checked automatically.

  3. 03ProcessingSystem + sheet

The record is created in the management system and the control sheet is updated.

  4. 04NotificationE-mail + team

The customer gets a confirmation and the team is told there is a new sign-up.

  5. 05Error handlingAlert

Invalid data doesn’t move on: the person in charge is alerted to fix and resubmit it.

Before × after

Same process. Different pace.

When the flow is mapped and the tools talk to each other, the team stops executing step by step and starts following the outcome.

Before (manual)

Average time per request: ~20 minutes

  1. Open the e-mail and download the form
  2. Check field by field
  3. Type it into the management system
  4. Copy it to the control sheet
  5. Write the confirmation e-mail
  6. Tell the team in the group chat

After (automated)

Average time per request: ~1 minute

  1. Form received and validated
  2. Record saved in the system
  3. Sheet updated
  4. Confirmation sent to the customer
  5. Team notified

More speed, fewer errors and a team focused on what really matters.

Illustrative example from the Client Guide. Times vary for each process.

Integration

Connected data and systems.

Your tools stop being islands. Every piece of information that arrives goes through your rules and is delivered to the right place — one at a time, with everything logged.

Do the math

How much time does your team spend on repetitive tasks?

Check the tasks, adjust the hours, and see how much of your operation goes to manual work every month.

1. Which tasks take the most time?

Your team spends about

165hours per month

≈ 21 work days per year on repetitive tasks.

43% of each person's week

Estimate based only on the numbers you entered. How much of it can be automated depends on the process — that’s what the assessment shows.

How we work

Clarity from start to evolution.

We understand the process before choosing the technology. Every stage has a deliverable, a validation and an owner.

  1. 01

    Discovery

We talk about the operation, the bottlenecks and the tools your team already uses.

  2. 02

    Planning

We map the flow and define scope, integrations, rules and acceptance criteria.

  3. 03

    Implementation

We build the solution with validations, logs and error handling.

  4. 04

    Testing

We validate with real (anonymized) data and you approve it in staging.

  5. 05

    Evolution

We monitor, measure and keep improving it as it is used.

FAQ

Before we start.

Didn’t find your question? Talk to us — we answer clearly, without jargon.

What can gfadel. automate in my company?

Repetitive activities with clear rules: sign-ups, updating systems and spreadsheets, sending confirmations and reminders, request triage, reports and integrations between tools. In the assessment we map your routine to find the best starting point.

How long does a project take?

It depends on complexity. Simple projects usually take 3 to 10 days; larger integrations are split into stages with partial deliveries. The timeline is set in the proposal, once we understand the process.

Do I need technical knowledge?

No. You explain how the process works today; we handle the technical side and deliver a documented solution with usage guidance.

Is it safe to share my data?

Yes. We work with the minimum access needed, use anonymized data in tests whenever possible and document where each piece of information flows.

Does it work with the tools we already use?

We assess each tool’s integration options. When an API or webhook is available, we connect the systems — WhatsApp, Google Workspace, spreadsheets, CRMs, ERPs, calendars and others.

Does AI make all the decisions?

No. AI comes in where it adds value, such as reading messages or documents. Business rules, validations and human review are defined for each step.

Is there support after delivery?

Yes. We agree on a follow-up plan with monitoring, adjustments and evolution. You can also request changes as the process changes.

Do you work outside Paranavaí and Maringá?

Yes. We serve northwest Paraná in person or remotely, and companies all over Brazil by video call.

Shall we build the next solution?

Which task is eating your time?

> automate whatever slows your team down

Tell us how the routine works today. We’ll find a simpler way to get it done — and say clearly what isn’t worth automating.
